Skills Matrix: Recording and verifying skills

This article relates to the following pro-Forms modules:

Digital Profile

Each skill or accreditation a person holds is stored as a record. New records start as pending and only count once a manager has verified them.

Recording a skill for one person

1. Click the square in the matrix (or open the person's profile).
2. Under Record new / renewal, choose the level (if the skill has levels).
3. Enter the certificate number, issue date and expiry date. If you leave the expiry blank, it is worked out from the validity period.
4. Attach evidence if you have it.
5. Click Save as pending.

The record goes to the Approvals tab for checking. A renewal does not replace the current record until it is verified, so a person stays covered while the renewal is checked.

You can add or remove evidence on a record while it is still pending.

Verifying records (Approvals)

The Approvals tab lists every pending record.

1. Open the evidence to check it.
2. Click Verify to accept the record, or Reject and give a reason.

Notes:

- You cannot verify your own records. Someone else must do it.
- Items marked "Evidence required" cannot be verified until a file is attached.
- A verified record can be revoked later (for example, if a card is withdrawn). You must give a reason.
