What is the difference between Online Forms & Mobile forms?
Mobile forms are completed in the pro-Forms® Mobile App. Each person filling in mobile forms needs their own unique login, which makes mobile forms ideal for a company’s field engineers, technicians and in-house site teams.
Online forms are designed for people who don’t have the pro-Forms® app and are not members of your staff. They’re typically sent via a secure link to customers, subcontractors or visitors—for example, sending a customer feedback form after a job is completed.

Are the forms and my data secure?
Yes.
Security and compliance are built into the pro-Forms® platform.
UK data hosting: Our servers are hosted in highly secure UK data centres, and your data (including backups) stays in the UK to support UK data residency requirements.
Encrypted databases: System databases are encrypted, with optional field-level encryption for sensitive form fields.
Secure admin access: The browser-based admin Work Group uses 256-bit encryption for login, and Two-Factor Authentication (2FA) is available for all admin accounts.
Mobile app encryption: The pro-Forms® Mobile App uses AES 128-bit encryption as standard.
Secure file transfer: If you need data movement via FTP, SFTP (Secure FTP) is available.
GDPR compliant: The system is GDPR compliant and developed and supported in the UK.
What technologies are required?
The pro-Forms® Mobile App is available on Android and iOS and can be downloaded from Google Play and the Apple App Store.
Mobile users typically need an internet connection, but the app also supports offline working (store-and-forward) when coverage is limited.
For best results, we recommend enabling QR code scanning on the device camera and turning on location services to capture GPS coordinates when required. Office/admin users simply need a reliable internet connection and a modern browser (e.g., Chrome, Firefox or Safari) for drag-and-drop form building and administration.
What happens if a mobile user has no internet connection?
The mobile app includes an offline mode with a built-in queueing mechanism. Users can continue completing and submitting forms as normal. If the connection is weak or unavailable, the app will automatically and silently hold the submission and send it once a stable connection is restored.
Can forms be saved to the device for later completion and submission?
Yes.
Users can manually save a form on their device and return to it later. Saved forms are linked to that device, so they won’t appear on a different device even if the user logs in with the same credentials.
The system can also automatically save form progress to our cloud-based platform (internet connection dependent). This helps protect your data—if a device is lost, any information already saved to the cloud can still be retrieved.
Can a user share their account with another user?
No.
This is specifically prohibited by our Terms and Conditions.
Each user must have their owe unique user account in the system using an email address as their username. This supports auditability, security and reliable reporting.
What types of question can be used on a mobile form?
Mobile forms support a wide range of question types, so you can capture the right data in the right format, including:

Can forms manage complex processes and on-site scenarios?
Yes.
Forms can be configured with conditional logic, visibility rules, dependencies and calculations to guide users step-by-step. This makes even complex workflows—such as compliance inspections, multi-asset checks or safety processes—simple and consistent in the field.
Can company branding and existing form layouts be matched?
Yes.
The generated document layout (created when a field user submits a form) can include your company logo, colour scheme, accreditations and contact details.
We can usually replicate existing paper or PDF layouts to maintain familiarity, ensure continuity and support accreditation or compliance requirements.
