Looking for a secure, UK-hosted way to create online forms and collect data fast?
Below are the most common questions we’re asked about the pro-Forms® Online Forms Plan—including a clear explanation of the difference between online forms and mobile forms, how people access forms via links or QR codes, and how we keep your data protected with GDPR-compliant security.

If you’d like to see how Online Forms could fit your workflows then why not request a Demo or start a Trial, and share an example of a typical form so we can build the form for your Trial?
What is the difference between Online Forms & Mobile forms?
Online forms are opened and completed in a web browser (for example Chrome, Safari or Firefox) using an internet connection. They’re ideal when you want to send a form to customers, applicants, parents, patients or service users via a unique link or QR code.
Mobile forms are typically designed for staff working out in the field and are optimised for use on phones and tablets. In many organisations, mobile forms are used for on-site data capture (for example inspections or visits), whereas online forms are used for collecting responses from a wider audience through the web.
What types of forms can I create?
With pro-Forms®, you can create virtually any type of online data collection form—from simple surveys to multi-step applications. Popular examples include:
– Customer feedback and customer satisfaction surveys
– Job applications and recruitment forms
– New starter onboarding and staff information forms
– Event registration and attendee sign-ups
– Risk assessments and compliance checklists
– Membership and volunteer applications
– CPD recording and training logs
– Funding and grant applications
– End user agreements and policy acknowledgements
– Quizzes and knowledge checks
– Employee surveys and internal questionnaires
Are my forms and data secure?
Yes.
Your data is hosted in highly secure UK data centres and does not leave the UK (including backups), helping you meet UK data residency requirements.
Our system databases are encrypted, and you can also enable field-level encryption for additional protection on sensitive questions. Data is protected in transit using 256-bit encryption from the user’s browser to our servers.
pro-Forms® is GDPR compliant, developed and supported in the UK.
How do people access an online form?
Online forms can be opened and completed via a unique form link or by scanning a QR code, which launches the form in a browser. The person opening the form needs an internet connection for the form to load.
What technology is required to open an online form?
To open a form link: any device with a web browser (Chrome, Firefox, Safari, etc.) and an internet connection—PC, laptop, phone or tablet.
To open via QR code: a smartphone or tablet with a camera (QR scanning enabled), an internet connection and a web browser.
How can I share form links and QR codes?
You can share your online form in the way that suits your audience:
Form links: send by email, post on your website, share on social media, or embed the form on a webpage using the iframe code we provide.
QR codes: email or publish online, or print onto posters, paper, signs, or sticky labels to attach to locations or assets.
What are typical uses of Online forms?
Online forms are commonly used by office and admin teams to collect responses from people outside the organisation—whether that’s a handful of recipients or thousands. Common use cases include:
– Customer satisfaction surveys and feedback collection
– School parent and guardian information updates
– Job applications and candidate screening
– Staff onboarding and HR data capture
– Patient requests and non-urgent medical forms
– Social work and service user support requests
– Website enquiries and feedback forms
– Customer product support and service requests
Do you know who has submitted a form?
Not by default. If you need to identify the person submitting the form, simply add a question that captures their details (for example name, email address, employee ID or reference number).
Can someone save a form and finish it later?
Yes.
Online forms include a Save option so respondents can save a partially completed form and return later. A unique retrieval link is emailed to the person completing the form so they can reopen and finish it when convenient.
Can I brand the form with my company details?
Yes.
You can add your branding—such as logos, colours and contact details—to the on-screen form experience. Branding can also be applied to any PDF or Word documents that are automatically generated and emailed to you after a form is submitted.
